This Privacy Policy explains how Kinbuild ("Kinbuild", "we", "us", "our") collects, uses and protects your personal data when you visit kinbuild.co.uk (the "Website") or otherwise get in touch with us, and explains your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

For the purposes of data protection law, Kinbuild is the "data controller" responsible for your personal data.

2. The personal data we collect
a) Information you give us directly
When you use the contact form on our Website to request a quote or ask a question, we collect:
- Your name
- Your message, and any contact details you choose to include in it (such as an email address, phone number or property address)
- Any information you volunteer if you contact us by phone, email or social media (Facebook or Instagram) instead
If your enquiry leads to us providing a quote or carrying out work for you, we will also hold the information needed to deliver that work and manage the relationship — for example your address, quote and invoice details, and correspondence.
b) Information collected automatically
When you browse the Website, some data is collected automatically, depending on the cookie choices you make (see Section 5 below):
- Technical data such as your IP address, browser type, device type and general location, collected via IONOS SiteAnalytics for website statistics
- Data collected if you use the Website Translator tool to view the site in another language
- Data collected if you choose to load the Google Maps widget on our Contact page
We do not collect any special category data (such as health or financial information) unless you choose to share it with us as part of an enquiry, and we would only use it for the purpose you shared it for.

4. Who we share your data with
We do not sell your personal data. We may share it with:
- IONOS, our website hosting and website-builder provider, who processes data on our behalf to run the Website and its built-in analytics
- Google, if you choose to load the Google Maps widget on our Contact page
- The provider of our Website Translator tool, if you choose to use it
- Our trusted associates (e.g. electricians, plumbers) named on our Website, only where necessary to deliver work you've asked us to coordinate, and only with your knowledge
- Professional advisers (e.g. accountant) and authorities such as HMRC, where required by law
Each of these third parties only processes your data for the specific purpose described and is required to keep it secure.
5. Cookies and similar technologies
Our Website uses a cookie consent banner that lets you choose which non-essential services are allowed to run. These currently include:
- IONOS SiteAnalytics — helps us understand how visitors use the site (analytics)
- Website Translator — lets you view the site in another language
- Google Maps — displays an interactive map on our Contact page
None of these load unless you give consent, and you can change your mind at any time using the "Privacy Settings" link in the Website footer. We do not use these tools to display third-party advertising.

6. International transfers
Some of the third parties above (for example Google) may process data outside the UK, including in the United States. Where this happens, we rely on safeguards recognised under UK GDPR, such as the provider's participation in an approved data transfer framework or the use of UK-approved Standard Contractual Clauses, to make sure your data stays protected to a UK standard.
7. How long we keep your data
- Enquiries that don't lead to work: we keep your contact form details for up to 24 months from your last contact with us, then delete or anonymise them.
- Customers: if we carry out work for you, we keep quote, job and invoice records for 6 years after the end of the relevant tax year, in line with HMRC record-keeping requirements.
- Analytics data: kept only as long as IONOS SiteAnalytics retains it under its own policy, generally in aggregated/statistical form.
8. Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Rectify inaccurate or incomplete data
- Erase your data ("right to be forgotten"), where applicable
- Restrict or object to our processing of your data
- Data portability — receive your data in a portable format
- Withdraw consent at any time, where we rely on consent (this won't affect processing already carried out)
- Complain to the UK's data protection regulator, the Information Commissioner's Office (ICO), at ico.org.uk or on 0303 123 1113, if you're unhappy with how we've handled your data
To exercise any of these rights, contact us using the details in Section 1. We'll respond within one month, as required by law.
9. Keeping your data secure
We take reasonable technical and organisational steps to protect your personal data against unauthorised access, loss or misuse, including relying on IONOS's platform-level security for website hosting and form submissions.
10. Children's privacy
Our Website and services are aimed at adults arranging building, renovation or landscaping work, and we do not knowingly collect personal data from children.
11. Changes to this policy
We may update this Privacy Policy from time to time, for example if we start using a new tool on the Website. The "Last updated" date at the top shows when it was last revised. We'd encourage you to check back occasionally.
